How do I use secure email?
Only when communicating outside Metropolia
When you send an email from a Metropolia email address to another Metropolia email address, the email is already protected. The secure email function can only be used when sending emails to email addresses outside of Metropolia.
The support for the Outlook add-on has been discontinued
The support for the Sec@GW add-on in the Outlook desktop application has been discontinued. Use the add-on exclusively through the mail.metropolia.fi website. Follow the instructions on How do I use the additional settings for secure email through the mail.metropolia.fi webmail service?.

How do I use letter security level secure email directly through the address field entry?
Applies to staff and students
This guide applies to all individuals who have a metropolia.fi email address.
Create a new email.
Enter the recipient's email address in the address field.
Add the character combination .s right after the email address.
Fill in the subject and message fields as usual.
Send the message.
In this case, the default message settings are in use. The recipient can open the message link they receive for 30 days from the moment the message is sent.
How do I use the additional settings for secure email through the mail.metropolia.fi webmail service?

This guide applies to all individuals who have a metropolia.fi email address.
- Create a new email.
- Enter the email address of the recipient outside of Metropolia in the address field.
- Click on the Deltagon Sec@GW add-on icon.
- Select Message security from the dropdown menu.
- Select Letter from the dropdown menu.
- Choose Message Options from the top menu.
- Check the box that says Recipients can open the message only once if you'd like the message to be accessible just once.
- Specify the number of days in the Unopened message becomes unavailable in field if you want the message to be available for a certain time after sending. The default setting is 30 days.
- Specify the number of days in the Opened message becomes unavailable in field if you want the message to be accessible for a certain time after the first opening.
- Check the box that says Request a read receipt if you want to receive a confirmation when the recipient has opened the message.
- Click Apply.
- Fill in the subject and message fields as usual.
- Send the email.
How do I use the registered letter security level secure email directly through the address field entry?
Applies to individuals with special permissions
This guideline applies only to individuals who have been granted access to registered letter security level email.
At the registered letter security level, the recipient is additionally identified through SMS authentication. In practice, when the recipient opens the message, the system asks for a PIN code, which is simultaneously sent as a text message to the recipient's mobile phone number.
Create a new email.
Enter the recipient's email address in the address field.
Add the character combination .[phone number].s right after the email address.
Foreign mobile phone number
If the recipient has a foreign mobile phone number, the format is as follows: 0035850123987.s, where 00 = international code; 358 = country code; 50123987 = phone number.
Fill in the subject and message fields as usual.
Send the message.
In this case, the message is sent with default settings. The recipient can open the received message link for 30 days from the time of sending. The recipient will receive a PIN code on their phone to open the message.
If you want to use settings other than the default, follow the instructions on How do I use the additional settings for secure email through the mail.metropolia.fi webmail service? and select the security level Registered letter.
When should secure email be used?
Secure email should be used when sending an email containing personal information, sensitive data, or otherwise confidential information to an email address outside of Metropolia.
An e-mail address outside Metropolia means all e-mail addresses that do not end with @metropolia.fi, for example:
- Email addresses of another college
- Email addresses of project partners or company contacts
- Personal email addresses, such as email addresses ending in @hotmail.com and @gmail.com
