An external user's account is an account created for a user who participates in a Metropolia project, enrolls in a class at Metropolia, or for some other reason uses Metropolia workstations (e.g. in auditoria) but is not a Metropolia staff member. Usually such accounts give access to Wiki or Moodle and they are created for projects run in cooperation with other organizations. With an external user's account logging to a Metropolia workstation is possible.

An external user's account differs from partner user accounts only in that an external user's account gives access to fewer services requiring Metropolia authentication and the user does not have a Metropolia e-mail address in the Metropolia e-mail system. An external service provider – e.g. employer – e-mail address is included in an external user’s personal information. An external user's account cannot be created without an external e-mail address because all accounts receive e-mail from Metropolia systems. If a person does not have an e-mail address, the Metropolia staff member requesting the external user's account must urge the person to get an e-mail address e.g. from a provider that offers free e-mail addresses.

External user's account acquisition process

1. The owner (a contact person for the process or a Metropolia contact person) makes a service request for an external user's account to Helpdesk.

2. The service request is forwarded to someone who creates user accounts. The person creates the account and sends an account slip to the requester/owner.

The account owner is in response of the external user's account and of the responsible use of services and systems accessed using the account. The external user should be reminded of the significance of the rules and regulations concerning the use of Metropolia systems and urged to become acquinted with them. The address Metropolia rules and regulations is printed on the activation slip. When activating the account the user must accept those rules and regulations and agree to be bound by them. The following information must be given in the request:

  1. Since contact person roles are assigned on a rotating basis the name a contact person might not be able to be specified. Usually, however, the contact person for the partners is the person who delivers the account.
  2. The contact person collects the necessary information and submits it to Metropolia Helpdesk.
  3. Necessary information: first name, last name, e-mail address, activity for which the user account is needed (e.g. name of the project or class), validity period.
  4. Metropolia IT Services gives the password slip to the contact person who in turn gives the paper to the user who must provide a valid ID.
  5. The user activates the user account:

The activation password is valid for 45 days, after that you have to get a new activation password. Instructions for getting a new activation password are the same as in the case of forgotten password

Expiry of external user's account

If the user account expires before the need for the account ends - e.g. as the period of the project prolongs - only the Metropolia contact person (i.e. the owner of the account) can request that Helpdesk extend the period of validity of the account. The external user must contact the contact person. Usually the account owner is the person who delivers the password slip to the user.

Forgotten password

The user contacts the owner of the user account. Usually the owner of the account is the person who gives the account paper to the user. The owner contacts Metropolia Helpdesk. It is prohibited to send user accounts, account slips or passwords by e-mail or as text message. External users can reset the password the same way as other users.
