On the resource management’s desktop, the planner may handle multiple reservations at the same time and in one view.

You may browse the reservations for different resources, such as groups, rooms and teachers, create new reservations and edit or delete old ones. You may also edit overlapping reservation in the same view.

In this context, a template is a teaching wish, which is the teacher’s wish for the arrangement of schedule and rooms related to a course unit.

Use of my desktop

  1. Open my desktop (Planner’s desktop – Resource planning and reservations – Open my desktop). 

     
  2. You may search for templates (teaching wishes) and calendars of teachers, groups or rooms on the desktop. You may also open a desktop that you have saved earlier, which is available in the drop-down menu on the upper right corner. 
  3. Templates button opens a window that allows you to search course unit information with different search terms (Search templates). The same view allows you to save a search or add a new template. 


  4. You will receive a list as a search result, which shows templates and icons of different functions (edit, copy and delete). The icons will appear when you hover over the row.

  5. You may arrange the list in an ascending or descending order by clicking (or tapping) the headings. Each templates includes the following information:
    Template name
     (link opens a layout view)
    ”Course unit”
     (link opens course unit information)
    Teacher
     (link opeans the teacher’s calendar)
    Groups
    (opens the group’s calandar)
    Rooms
     (opens the room’s calendar)
    Starts
     (the date the course unit starts)
    Ends
     (the date the course unit ends)
    Duration
     (in hours e.g. 2 h)
    Description
     (a more detailed description of scheduling and room wishes)
    pcs
     (how many pieces you need to place)
    Res.
     (how many pieces have been made with the template; link to the list that includes all the reservations made with the template).

     
  6. Select the template to which you want to add reservations. 
    The link opens a layout view and the calendars related to the template (teacher, group, room). If there are more than one teacher, group or rooms in the template, the first one opens. You may browse other teacher, group or room information by searching them with the search tool at the top of the page (e.g. select the groups field and type in group name) or search another resource in the small yellow window that shows the template resource.

  7. The layout view shows the reservations of the templates during the selected time period: persons (in blue-based numbers), groups (in yellow-based numbers) and rooms (in red-based numbers). The number tells how many resources are booked during that time. When you click or tap the number, a window opens that allows you to edit overlapping reservations. In the example, there is an overlapping reservation with two persons.
  8. To make a new reservation in the layout view, simply select a suitable time slot. You may set the reservation to repeat. The system offers repetition during the whole event as a default, but you may change this according to your needs.


  9. You will see the reservations that you have made via the layout view as green-based numbers in the calendar. You may change the time of the reservation by dragging it from one place to another in the calendar. 
  10. You may also edit the reservations made in the layout view by clicking or tapping the reservation number in the Res. column. A window opens that allows you to change a single reservation (select the right row) or all the reservations at once (Edit). The same view allows you to delete reservations: delete a single reservation from the right end of the reservation row or delete a group of reservations with the Delete all link.
